Before telephoning a parent to report a problem or to clarify something, make sure you are prepared for successful communication. Here are some easy tips to help you telephone with confidence and efficiency no matter what the purpose of the call:
Take a few minutes to think about what you want to say and how best to say it.
Have examples of work or notes about actions that you can refer to during the call.
Have Contact Sheet and pen ready to take notes during and after the call.
Make sure you are calling from a private place where you will not be overheard.
Identify yourself and ask if this is a good time to talk to the parent for a few minutes.
If not, arrange for the parent to call you back or suggest another time.
Discuss the situation briefly and relate what you have done or plan to do about it.
Ask the parent for help in resolving the situation or in continuing to support your efforts.
Listen to information the parent may have that would be helpful. Ask for clarification if you do not understand what the parent is saying.
If the parent does not speak English, ask if there is someone else you could speak to who understands and speaks English.
